Hotellistat ↔︎ Cloudbeds Integration — Client Guide

How to sign up for Hotellistat?

Schedule a demo with Hotellistat and sign a contract. Then connect the Hotellistat app in Cloudbeds as described below.

How to connect Hotellistat with Cloudbeds for the first time?

Your Hotellistat contract must be in place before you connect, so that Hotellistat can match the property to your hotel.

  1. In Cloudbeds, open Account and select Apps & Marketplace. If this section is missing, your Cloudbeds user role lacks the Marketplace permission. Ask the property owner to enable it.

  2. Search for Hotellistat and open the app page.

  3. Click Connect App.

  4. Review the permissions on the authorization page and click Allow Access. As an organization-level user, select one property. To connect further properties, repeat the steps for each property and wait at least two minutes between connections.

  5. The Hotellistat app is now listed as connected on the Marketplace page. No login and no API key are required on your side.

  6. Hotellistat is notified automatically, matches the property to your hotel and starts loading data. Hotellistat only contacts you if the property name cannot be matched to your hotel.

Screenshots of these steps are in the Cloudbeds article How to connect an app to Cloudbeds PMS.

Interface type

2-way. Hotellistat reads operational data from the Cloudbeds API and Cloudbeds Insights, and pushes rates, occupancy supplements and restrictions back.

Loading data

Automatically (from Cloudbeds):

  • Room categories, including virtual rooms and their composition

  • Rate plans and their room assignments, including derived rates

  • Market segments

  • Derivations (the derived-rate setup from Cloudbeds becomes the BASE derivation in Hotellistat)

  • Reservations and reservation details

  • Allotment blocks

  • Actuals and Snapshots (on-the-books, at house, room-category and market-segment level)

  • Capacity, out-of-order and out-of-service rooms

Manually (in Hotellistat):

  • Reviewing the imported BASE derivation before it is used for pricing

Initial data load

  • Historical data is loaded during onboarding, as far back as you need it and Cloudbeds returns it.

  • Forward-looking data as long as reservations exist in Cloudbeds.

  • Same-time-last-year comparisons become available once Hotellistat has generated the historic snapshots for that period. Hotellistat support triggers this at the end of onboarding; it can take many hours, depending on the property and the length of the period.

Data types

Received at reservation level:

  • Room category

  • Rate plan

  • Booking channel

  • Booking source

  • Market segment

  • Allotment block

  • Reservation status, including canceled and deleted reservations

Revenue figures are stored net of taxes, based on the reservation's room subtotal as Cloudbeds reports it. Taxes and fees are stored separately per night. Additional items on a reservation (extras, packages) are stored as other revenue. A canceled reservation with a retained charge keeps that charge as realized revenue.

KPIs / Data

Received on-the-books at house, room-category and market-segment level:

  • Room nights

  • Room revenue (net) and other revenue

  • Guests, adults and children

  • Capacity

  • Out-of-order and out-of-service rooms (house and room-category level)

Allotment blocks are transferred with their allotted and picked-up rooms per night, status and release date.

Data update frequency

  • Each update covers a rolling window of 31 days from today by default.

  • Longer or historical ranges are loaded on request.

Price Push

  • Prices are sent per rate–room–day for the base rate, plus adult and child occupancy supplements.

  • Derived rates receive restrictions only. Cloudbeds calculates their prices from the base rate according to the derivation configured in Cloudbeds.

  • Cloudbeds applies pushed rates asynchronously. Hotellistat waits for Cloudbeds to confirm the update before marking the push as successful.

  • Full push and delta push are both supported.

  • Manual push: update the price in Hotellistat and trigger the push.

Derivations / Pricing

The derived rates configured in Cloudbeds are imported as the BASE derivation, with occupancy ranges for adults and children on every base rate. Derivations are maintained in Hotellistat and are used to compute the prices pushed to Cloudbeds.

Restrictions

Pushed per rate and room category:

  • closed

  • closed_on_arrival

  • closed_on_departure

  • min_stay

  • max_stay

  • min_advance_booking

  • max_advance_booking

Limitations

  • Guest details (names, nationality, company profiles) are not transferred.

  • Food and beverage revenue is not separated: Cloudbeds reports a reservation's additional items as one total, without a breakdown by category.

  • Cloudbeds provides nightly allotment block data for current and future nights only.

  • Occupancy supplements only take effect on room categories with occupancy-based pricing enabled in Cloudbeds.

  • Virtual rooms (Cloudbeds split inventory) are imported as pseudo rooms with their composition. Room-level statistics for virtual rooms are reported as Cloudbeds provides them.

How to disconnect Hotellistat?

Disconnect the Hotellistat app in Cloudbeds as described in the Cloudbeds article Disconnect an app from myfrontdesk.

What happens when you disconnect?

  • Hotellistat is notified immediately and stops all data loads and price pushes for the property.

  • Data already loaded stays in Hotellistat.

  • Reconnecting the app in Cloudbeds resumes the data exchange without new setup.

  • Disconnecting does not end the Hotellistat contract. To end it, contact Hotellistat support.
